Align Painting-Event Helpers with Participant-Protection Procedures

A painting event should fit the host organization's participant-protection procedures. The organizer needs to connect the activity's practical tasks with those existing rules before assigning helpers. This page is a briefing aid; it does not set safeguarding requirements or replace the organization's trained lead.

Identify who owns the procedures

Ask the organization to name the person responsible for confirming helper suitability, required preparation and the process for raising concerns. That may be different from the person managing canvases or room setup. Helpers should know both contacts and when to use each.

NCVO's guidance on volunteer roles recommends considering tasks, support, supervision and safeguarding responsibilities when defining a role. Apply your organization's own rules and relevant local requirements rather than treating a general guide as a complete procedure.

Map painting tasks to approved roles

  1. List the actual tasks: welcoming, issuing materials, demonstrating, helping individuals, collecting work and closing the room.
  2. Ask the designated lead which tasks require particular preparation or supervision.
  3. Assign only the tasks each helper has been cleared and prepared to undertake.
  4. Explain which requests must be referred rather than handled independently.
  5. Confirm what happens if the responsible lead or a necessary helper is unavailable.

Keep routine art assistance distinct from personal care, transport, private communication and other responsibilities that may fall outside a volunteer's role.

A briefing card to complete with the organization

  • My assigned tasks: ___.
  • Tasks I must refer: ___.
  • Day-to-day coordinator: ___.
  • Participant-protection contact and backup: ___.
  • Where the current procedure is available: ___.
  • How I report a concern under that procedure: ___.

For example, a materials helper can be assigned to issue canvases and replenish approved supplies while referring requests for individual support to the designated staff member. The role stays useful without silently expanding into responsibilities for which the helper has not been prepared.

Check understanding before opening

Walk through a routine handoff, such as a guest asking for help outside the materials role. Ask the helper whom they would contact. If the answer is unclear, resolve it with the lead before guests arrive. Do not ask helpers to improvise an investigation or promise confidentiality beyond the organization's procedure.

Common questions

Does painting experience qualify someone for every helper role?

No. Artistic skill and participant-support responsibilities are different matters.

What if the organization has not confirmed a required procedure?

Resolve that with its responsible lead before proceeding with the affected activity or role. A supply order does not fill the gap.
