Compare Written Quotes for Group Canvas Supplies

Two written supply offers can look comparable while covering different work. A total for canvases alone does not describe the same purchase as a total that includes paint kits. Before choosing, put each actual offer beside one shared requirement and identify what remains unanswered.

This worksheet is for an organizer reviewing replies already received. If you are still deciding what to ask for, start with buying painting supplies for a group.

Write one baseline before comparing totals

Name the event or program, the delivery destination and the version date. List the required canvas designs, sizes and quantities on separate lines. Decide how many paint kits you want independently of the canvas count. Record organizer-provided materials separately so an item you already own is not accidentally requested twice.

CanvasPaintParty supplies physical pre-outlined canvases and optional paint kits. The organizer remains responsible for the venue, hosting and instruction. Use the canvas-only and paint-kit comparison when defining the materials scope. Do not assume another offer uses the same meaning for “kit.”

Transcribe the offers without filling gaps

Comparison row What to record from each offer Question if unclear
Canvases Design or reference, size and number for each line Does this match every requested design and size?
Paint kits Number of kits and the stated contents of each Which materials are included, and in what quantity?
Other materials Items explicitly included or excluded What must the organizer source separately?
Delivery Destination, stated charge and any written timing assumptions Is that charge included in the quoted total?
Documents and conditions Actual payment requirements, documents and any stated validity period Can the proposed arrangement meet the buyer's requirements?
Evidence Quote date, reference, version and clarification replies Which reply supersedes an earlier figure?

Write “unconfirmed” for a missing charge or condition. A blank shipping field is not evidence of free shipping. A request for purchasing documents is not evidence that the supplier can provide them. Keep the original offer so a reviewer can trace every copied figure.

Work through a mismatch before choosing

Imagine a group needs 24 canvases and has decided to provide one paint kit for each painter. Offer A lists 24 canvases and 12 kits. Offer B lists 24 canvases and 24 kits. These example quantities illustrate a scope mismatch; they are not current supplier offers.

  1. Mark both canvas rows as matching only after checking the designs and sizes.
  2. Mark Offer A's kit row as 12 below the agreed requirement.
  3. Ask whether Offer A can be revised to include the other 12 kits, with the resulting written total and delivery information.
  4. Check Offer B's kit contents against the materials the activity actually needs.
  5. Leave the comparison unresolved until the missing information is answered or the group deliberately changes its baseline.

Do not multiply an assumed kit price or silently plan to share supplies to make the totals comparable. If the group chooses a different supply arrangement, revise the baseline for every offer and explain that decision.

Record a decision another person can follow

Keep three short fields beneath the table: “requirements confirmed,” “open questions” and “reason for the proposed choice.” A useful reason identifies the actual fit, such as matching the requested quantities with a confirmed destination and complete written information. It does not need to declare a universally best supplier.

Once the materials scope is understood, transfer the relevant confirmed amounts into the whole-event cost worksheet. Venue and organizer expenses still belong in that wider plan.
