Coordinate Promotion with a Venue or Community Partner

When a venue and an organizer both promote a painting event, small differences can cause large misunderstandings. One post may show an old time while another promises materials that are not included. Agree a short shared fact sheet before anyone publishes invitations.

Create one approved event record

Include the organizer, venue, date, arrival time, activity format, confirmed inclusions, booking link and event contact. Add the actual capacity or availability wording the organizer intends to use. Keep supplier names and partner descriptions accurate; buying materials does not create an endorsement or co-host relationship.

The venue guide can help clarify the roles. Canvas Paint Party supplies canvases and optional kits, while the event operator and venue decide who communicates with guests.

Assign approval and update responsibilities

  1. Name the person who confirms event facts.
  2. Agree who checks the venue's name, location and access details.
  3. Confirm permission for any logos, photographs or artwork used in promotion.
  4. Choose one booking destination or explain clearly how separate booking channels reconcile.
  5. Set a process for changing, postponing or closing the event listing.

Do not rely on a long message thread as the only source of truth. A dated fact sheet makes it easier for each partner to recognize whether they have the current version.

Use a publication checklist

Before a post goes live, compare its date, time, location, inclusions and booking link with the approved record. Check that it says whether the activity is guided or self-led. Confirm that the images represent the advertised activity and are used with permission.

Example: the venue writes “materials and refreshments included,” but the organizer's record includes painting supplies only. Correct the wording before publication rather than hoping guests will discover the difference at arrival. The same review should cover posters, email, social posts and booking confirmations.

Prepare for changes and partner questions

Keep a list of where the event was published and who can update each location. If a time changes, update the booking destination and coordinate the guest notice before leaving old promotional posts active. Do not assume every partner will see an informal message immediately.

Can partners use different wording? Yes, provided the facts and commitments stay consistent. Can a venue collect interested guests' details? Use the agreed booking process and the organization's privacy practices; do not casually exchange unrelated contact lists. Plan the event itself with the party checklist and save communication lessons in repeat-hosting notes for the next collaboration.
