Planning quantities when the guest count may change
For organizers who have to order before attendance is final. Instead of a rule of thumb, this guide helps you make an explicit decision: how many canvases for the people who are certain, how many for the people who might come, and how many spares you are willing to hold.
Business and group-order inquiries: b2b@canvaspaintparty.com.
Separate confirmed and possible attendance
Start from your own information, not a general percentage. Count the people who have confirmed. Then count the people who might come: invited but not replied, or likely to bring someone. Keep the two numbers apart until the end; mixing them hides the decision you are really making.
Count canvases one by one
The minimum order is one canvas, and each canvas carries one design. Count a canvas for each person who will paint, not for each person who will attend: at a family event, some people may watch or share. If several designs are on offer, the count has to be split by design as well.
Allocate designs and sizes
You can mix 8 × 10 and 11 × 14 canvases and several designs in one order, but every combination still needs a clear number. Mixed-design painting has a worked example for splitting a group across designs.
Decide on paint kits separately
Paint kits are optional, and their number does not have to match the canvases. Each optional paint kit has 12 colors (3 ml each), two brushes, an apron, a six-well palette and a color-mixing guide. You choose how many kits you need, separately from the number of canvases. Check what paint and brushes you already have before deciding. Canvas only or a paint kit compares the two set-ups.
Confirmed, possible and reserve worksheet
Fill in your own numbers. The reserve is your decision: weigh the cost of a spare canvas against the cost of someone going without. There is no correct percentage, and this page does not suggest one.

If the count changes after you order
Contact us as soon as you know; changes are handled by contacting the business and cannot be assumed to be possible. Contact us about changes, cancellations or returns before relying on an unconfirmed arrangement. Spare canvases do not go to waste: they can be used at a later session, and repeat hosting covers keeping a record of what is left.
On the day, if more people arrive than canvases, pairs can share one canvas by agreement, and people who arrive late can paint the spares first.
Ordering for a large group
Contact us with your confirmed count, separately listed spare canvases, canvas sizes and kit quantities to discuss current pricing for your order. Buying paint supplies for a group covers sizes, mixed designs and checking a delivery.
For current order questions, contact the team. Read shipping and tracking guidance or order-problem and return guidance.
