Prepare an Internal Purchase Request for Group Canvas Supplies

An activity can be agreed in principle while its supplies remain unauthorized. A committee may like the painting plan, a program lead may know the quantities, and a different person may control spending. An internal purchase request brings those decisions into one record before anyone commits the organization to an order.

Use your organization's own purchasing process. The outline below helps assemble the facts for that process; it does not establish a universal approval rule or a supplier's payment terms.

Identify the decision you actually need

Write a single sentence: “Please decide whether we may purchase the attached materials scope for this activity.” Name the person who can authorize that commitment and the person who will place the order after approval. The event host and receiving contact may be different people. The organizer responsibility guide can help assign those separate jobs.

Ask the decision maker what information the organization requires. Do this before treating a familiar checkout method as acceptable for the organization. If supplier documents or a particular payment arrangement are necessary, record them as requirements to verify.

Build one current decision packet

Packet field Useful content Evidence or owner
Purpose and scope Activity, participant plan, canvas design/size/count and separate kit count Organizer's dated scope
Supplier information Actual product information and current correspondence Named purchaser
Proposed spending Current written quote or clearly labeled estimate, plus known exclusions Attached source for each amount
Funding Who controls the proposed funding and what still needs authorization Internal funding owner
Required documents Organization's requirements and whether each has been confirmed available Purchasing contact
Receiving and timing Confirmed destination/contact, event date and unanswered delivery questions Receiver and organizer
Requested decision Approve, decline or return for specific missing information Authorized decision maker and date

Label an estimate as an estimate. Keep unknown delivery charges or other unresolved amounts visible instead of presenting a partial figure as a complete cost. If the packet includes the whole event, use the event-cost worksheet to separate materials from other commitments.

Separate three different states

Track “funding identified,” “purchase authorized” and “order placed” independently. Money assigned to a program does not by itself show that this particular purchase has been approved. An approved request does not show that an order has been submitted.

For example, a committee agrees to an optional activity for 18 participants. The organizer has a materials proposal, but the purchasing office still needs a confirmed delivery charge. The record can say: activity agreed; purchase pending; delivery question assigned to the purchaser. That is a useful, actionable status. Marking the entire project “approved” would hide the missing purchasing decision.

When the answer arrives, attach it to the same scope version. If it changes the proposed spending or materials, ask the decision maker to review the updated version through the organization's process. Do not circulate several unlabeled versions with different totals.

Keep artwork choices separate from spending authority

A CanvasPaintParty design preview is optional. An organization may choose to review its artwork internally, but that choice is different from its authority to spend money. Photos, reference images and ready outlines can be used for an order; optional preview approval should not be presented as a required purchasing stage.

Prepare the supplier-facing details using the group purchasing guide. Ask about any required documents or purchasing arrangements before relying on them. General inquiries can go to info@canvaspaintparty.com; business and group buyers may also contact b2b@canvaspaintparty.com. These contact options do not establish acceptance of a purchase order or other unconfirmed terms.

Hand off the authorized version

Record the decision, date, decision maker and exact scope version. Give the purchaser that version and the unresolved questions, if any. Keep payment credentials out of a shared planning worksheet. After placement, add the actual order reference and tell the receiver what to expect. The event operations guide connects this purchasing handoff to receiving, setup and the activity itself.
