Reconcile Event Expenses and Partner Settlements

Event closeout means checking what was agreed, what actually happened and what remains unresolved. A receipt, a partner statement and a packing list may describe different parts of the same event. Bring them together before assuming that the event is financially or operationally complete.

Collect the evidence by commitment

Use the actual agreements and purchasing records for venue charges, supplies, facilitation, transport and other event costs. Keep estimates separate from confirmed amounts and payments. This worksheet organizes records; it does not decide tax treatment, contractual entitlement or an accounting policy.

The independent-host guide provides the broader operational context. Use qualified support for questions that require it.

Create a closeout register

Reference Commitment Evidence Status or exception
S01 Canvas supply order Order and received count Quantity matches
V01 Venue arrangement Agreement and venue statement One item needs explanation
E01 Borrowed equipment Issue and return checklist Return confirmed

Add payment status, any restriction, discrepancy owner, next action and completion evidence to the private working version. Do not mark a row complete just because an invoice was received; it may still need checking or payment.

Work through a quantity difference

Suppose the supply record shows 30 canvases received, the session used 26 and the closing stock count finds three. One canvas is unaccounted for. Check whether it was a demonstration piece, a damaged item or a recorded take-home allocation. Update the record only when the explanation is supported. Do not label it waste or charge a partner based on a guess.

The same method applies when a venue statement includes an item the host does not recognize: flag the line, identify the agreement it should relate to and ask the responsible person to resolve it.

Separate closeout from the next booking

  1. Match each commitment to its evidence.
  2. List differences without hiding them in an overall total.
  3. Assign one owner and a review point to each open item.
  4. Record the agreed resolution and supporting document.
  5. Carry forward only verified stock and lessons for future planning.

A promising next event does not settle an unresolved previous one. Keep the records distinct even when the same venue or partner is involved.

Closeout questions

Should gross ticket sales be called profit? No. Keep revenue, expenses and any agreed distributions clearly identified; your accountant or responsible finance person can determine the appropriate treatment.

Where do unused materials go? Record their condition and ownership before adding them to the repeat hosting inventory.

How can future supply orders improve? Compare confirmed usage with the original group supply plan, including demo canvases and independently counted paint kits.
