Review an Ongoing Venue Partnership Before Renewing It
Before renewing an ongoing venue partnership, compare the arrangement you planned with what actually happened. A busy event may still leave one partner carrying unexpected work. A smaller event may be worthwhile for a clear community purpose. Review the evidence and agree the next arrangement deliberately.
Bring the right records to the review
Gather the session calendar, attendance totals, setup and cleanup notes, supply use and relevant guest feedback. Include the agreed responsibilities so both sides can see where the actual work differed. Keep personal complaints or guest details in the appropriate private records rather than circulating them in a general meeting.
The venue guide provides a useful starting point for the division of responsibilities. Review the host and venue arrangement separately from the purchase of canvases or optional kits.
Discuss four practical questions
- Did the room, schedule and access arrangement support the activity?
- Was each partner able to deliver the tasks it agreed to handle?
- Did guests understand the event format and inclusions?
- Can the next series be supported with the available staffing, materials and time?
Use specific examples. “The room was difficult” is less useful than “We could not begin setup until guests from the previous booking left, so the painting start was delayed.” A concrete description points toward a change both partners can assess.
Use a keep, change or pause sheet
Make one row for each recurring issue. Choose “keep” for an arrangement that works, “change” for a solvable problem and “pause” where the next booking should wait for a decision. Add an owner and completion date for each change.
Example: “Storage cupboard—change—venue confirms an assigned shelf before the next order.” Another might be: “Late-night session—pause—organizer checks whether a different time fits guest attendance.” Avoid renewing the same terms while leaving essential questions unresolved.
Confirm the next version of the arrangement
Update the operating record with dates, contacts, access times, supply storage, room-reset responsibilities and the process for guest communications. Have the relevant people confirm it before promoting the next series. Use repeat-hosting notes to preserve what changed and why.
Does renewal require adding more sessions? No; fewer well-supported dates may fit the program better. Does strong attendance prove every guest was satisfied? No; review feedback and operational issues separately. If the event purpose or audience changes, revisit activity formats instead of assuming the previous session design will still fit. Keep the decision based on the actual program, without inventing supplier guarantees or partnership claims.
