Supplying a Corporate Event as an Independent Host

When an independent host supplies a corporate painting event, the client, host and canvas supplier have different jobs. A clear supply brief prevents the client from assuming that a shipment includes event staff, and prevents the host from planning around furniture, access or equipment that nobody has confirmed.

Separate the three responsibilities

The client confirms the event purpose, participant arrangements and workplace or venue requirements. The independent host plans and delivers the activity under their agreement with the client. Canvas Paint Party supplies physical pre-outlined canvases and optional paint kits; it is not the event venue or the host's instructor.

Use the corporate activity guide to discuss the format. Keep supply purchasing distinct from the client's event booking and its terms.

Build one practical supply brief

Field Who confirms it Example entry
Design choices Client contact and host Two permitted themes with quantities
Canvases and kits Host Separate counts, including demo canvas
Receiving Client or venue Named recipient and delivery instructions
Room supplies Host and venue Tables confirmed; host brings covers
Event communication Client One person circulates practical updates

This is an illustrative worksheet, not a corporate purchasing policy. Ask about the actual payment and documentation process before committing to it; do not assume purchase orders, credit terms or tax arrangements are available.

Resolve artwork and quantities

For brand-related designs, have the client supply the exact permitted reference and spelling. Avoid treating a logo found online as an approved asset. A photo, reference or ready outline can start a custom request; reviewing a preview is optional. The custom canvas page is the appropriate route for discussing the artwork.

Record the number of painters separately from all attendees. Include anyone demonstrating, any agreed extra canvases and each design's count. Do not infer paint-kit quantities from headcount alone; compare the planned individual or shared supply arrangement.

Inspect before handing over

Identify who will open and inspect the delivery, compare it with the supply brief and raise discrepancies. If supplies go to the client, arrange that check before the host arrives. Keep your own artwork references and version notes so the received order can be matched to the approved event plan.

The group purchasing guide can help organize the request. Any arrival or production timing should be confirmed for the actual order.

Host questions

Can we advertise an all-inclusive event? Describe only what your own confirmed event agreement includes. A supplier's optional kit does not establish that furniture, refreshments or instruction are included.

What if the client changes the headcount? Record the requested change, check available supplies and contact the supplier about any order change. Do not promise acceptance or assume an existing shipment can be altered.
