Track Inquiries, Tentative Holds and Confirmed Bookings
An inquiry, a tentative hold and a confirmed booking should not look the same on an independent host's calendar. Each state makes a different claim about the date, venue, staff and supplies. A small booking board can prevent two promising conversations from quietly becoming competing commitments.
Define your states in plain language
An inquiry means someone has asked about an event. A tentative hold means you have agreed to reserve specified resources for a stated review period under your own process. A confirmed booking means the evidence required by your actual agreement has been received and checked. Do not invent a deposit rule or contract term simply to fill a spreadsheet.
The independent-host guide provides the wider business context. This board is an operational record, not a contract template.
Record what is held, not just the date
| Event reference | State | Resources | Next evidence or action |
|---|---|---|---|
| Event A | Inquiry | None reserved | Client chooses proposed date |
| Event B | Tentative | Host and room provisionally held | Named owner checks agreement by review point |
| Event C | Confirmed | Host, room and supply plan recorded | Prepare final attendance update |
Add the responsible person, last confirmed change and exact review point to your private working version. Use event references rather than exposing client details on a public wall calendar.
Make transitions deliberate
- Log a new inquiry without marking resources as sold.
- Before offering a hold, check the host, venue and equipment against existing commitments.
- State what the hold covers and when it will be reviewed.
- Move to confirmed only after checking the actual required evidence.
- Record postponement, cancellation or release as a new decision rather than deleting the history.
A verbal possibility should not become an automatic supply purchase. Equally, an expired internal reminder does not by itself cancel an agreement with a client; follow the terms that actually apply.
Work through a conflict
Suppose Event B provisionally holds the only demonstration equipment while Event A asks for the same date. The board reveals the conflict before either receives a promise. The owner checks Event B's agreed review process, discusses an alternative resource or date and records the result. It does not silently move the equipment to the newer inquiry.
Connect the confirmed plan to supply purchasing only when the organizer is ready to commit.
Booking questions
Is a customer inquiry a booking with Canvas Paint Party? No. This board describes the independent host's event operations. A canvas supply order is separate.
What should we review after the event? Compare the board with actual changes and update the repeat hosting record so unclear handoffs are corrected before the next cycle.
