Maintain a Host Manual That Stays Current

A host manual is useful when someone can open it and find the current answer. Long collections of old checklists can create more uncertainty than they remove. Keep the core instructions short, name the person responsible for updates and separate stable routines from event-specific details.

Organize around the work

Use sections for booking and design, receiving supplies, room setup, welcoming guests, the painting sequence, cleanup and follow-up. Put venue contacts and current session details in an event sheet rather than burying them inside general instructions.

The repeat-hosting guide describes the operational cycle. The planning checklist provides a starting list of jobs to organize.

Use one template for each instruction

  • Task: A clear action, such as checking delivered canvases.
  • Owner: The role responsible, with a current contact on the event sheet.
  • Inputs: What the person needs before starting.
  • Steps: The shortest sequence that reliably completes the task.
  • Done means: The evidence that allows the next person to proceed.
  • Reviewed: Date and person who checked the instruction.

For example, a receiving page can end with “counts matched to the order, discrepancies recorded, designs labelled and location shared with the setup lead.” That is more practical than “make sure everything is ready.”

Keep supplies and capabilities accurate

List the actual canvas options and the tools your program supplies. Brushes, palettes, rinse containers, towels and surface protection may come from different sources. Avoid copying a supplier's old kit description into the manual and treating it as permanent.

Record product questions for the purchasing contact. Keep venue rules, lesson permissions and organization procedures tied to their current sources. The manual should not invent a safety certification or convert a tentative service arrangement into a promise.

Review changes after each session

  1. Collect specific observations from the people who performed the work.
  2. Identify whether an issue needs a one-date adjustment or a general instruction change.
  3. Assign someone to verify the change.
  4. Replace the current instruction and mark the previous version as superseded.
  5. Tell affected helpers what changed before the next session.

Use a trial session when a new instruction depends on unfamiliar materials or design complexity.

Manual questions

Does every helper need the whole manual?

No. Give people access to the current instructions relevant to their roles and the common event briefing.

What belongs in the manual instead of someone's memory?

Anything another prepared person would need to repeat the work. The organizer guide helps identify those handoffs.
