One Payer, Several Recipient Locations: Supply Planning Questions

One payer and several recipient locations create a coordination task, not merely a larger order. Before collecting addresses or announcing delivery, confirm which arrangement the supplier can support. Do not assume that one payment automatically includes split shipping, individual packing or a single consolidated invoice.

Compare the two basic arrangements

In centralized delivery, supplies arrive at one agreed location and your organization handles redistribution. In direct delivery, separate destinations receive shipments through a specifically confirmed arrangement. Each creates different responsibilities for packing, address checks, tracking and recipient questions.

Ask which options are available for your actual quantities, dates and destinations. Canvas Paint Party currently serves the USA; do not include international recipients in a promised delivery plan without a separately confirmed solution. Keep supplier capabilities distinct from services your organization can perform itself.

Prepare a requirements sheet first

  1. Count recipient locations and canvases per location.
  2. List design codes, sizes and optional kit quantities.
  3. Identify the payer and the person authorized to coordinate the order.
  4. State the activity date and any receiving restrictions.
  5. Ask who packs, labels, dispatches and tracks each destination.
  6. Confirm how changes and delivery questions will be handled.

Collect personal details only when needed

Start with quantities and general destination requirements. Once the arrangement is confirmed, collect the addresses needed through your organization's appropriate process. Keep personal addresses out of public spreadsheets and group emails. Tell recipients who will receive their information and why, using your organization's privacy procedures.

For example, a company has three offices and several home-based participants. It first asks about office deliveries and the feasibility of separate household shipments. If only centralized delivery is arranged, the company decides whether it can responsibly manage the remaining distribution before promising the activity to remote staff.

Track each location independently

A useful ledger has destination code, expected contents, dispatch status, receipt confirmation and unresolved issue. An overall “order delivered” status may hide a missing carton at one site. Ask each receiving contact to count canvases and kits against the destination list, then report discrepancies through one coordinator.

Keep order confirmation separate from event attendance. A participant might receive supplies but be unable to join the live session, or attend while a delivery issue remains unresolved. Your event fallback should account for both situations.

Common questions

Can we promise home delivery when inviting participants?

Only after the actual delivery arrangement is confirmed. Otherwise explain that distribution details are still being finalized.

Does the payer need every participant's home address?

Not necessarily. Use the minimum information and access required by the confirmed fulfillment process and your organization's practices.

Continue with quantity planning, remote format choices and supply records.
