Optional Painting Stations for Workplace Socials

An optional painting station works best when colleagues can understand it without interrupting another activity. The organizer needs to define how people join, how long a place remains available and what happens to unfinished canvases. A station beside a workplace social should feel like an invitation, with space to watch or chat without painting.

Choose a participation model

Decide whether people can start throughout the gathering or join during short arrival windows. Open arrivals suit a casual social but require someone to repeat the introduction. Arrival windows simplify restocking and prevent a guest starting just as the room must close. Publish the final start time separately from the event end time.

Use the self-led station guide to plan the basic setup, then account for workplace needs: protect shared furniture, move electronics and keep routes to meeting rooms open.

Prepare the station before guests arrive

  1. Set a visible capacity based on usable seats, table space and supplies on hand.
  2. Choose a small selection of outlines. Large, open shapes allow people to pause for conversation and return without losing their place.
  3. Place a short start card at each seat: choose a canvas, select colors, ask the named helper if needed, and leave wet work in the marked area.
  4. Provide paint, brushes, palettes, rinse containers, protective covers and towels. Keep refreshments elsewhere.
  5. Assign one person to check stock and one handover contact if that person leaves.

A station card you can adapt

  • Joining: take an available seat; ask the helper when the table is full.
  • Participation: paint, watch or join the conversation; no presentation is required.
  • Leaving temporarily: tell the helper and label the canvas.
  • Closing: last starts at ___; collection from ___; organizer contact ___.

For example, an organizer may reserve two tables for painting and keep an adjacent table for conversation. People carrying drinks do not need to lean over working painters. The helper checks whether a vacant chair is genuinely free before handing out another canvas.

End with a count and a handover

Record canvases issued, unused stock and uncollected work. A disappearing seat is not evidence that a canvas has been collected. Arrange a secure temporary collection point with facilities staff; do not leave wet paintings in a corridor.

Common questions

Should managers encourage everyone to paint?

Invite participation without tracking who declines. Avoid attaching the activity to performance, confidence or teamwork judgments.

Can someone finish later?

Yes, if the organizer has explained collection and what supplies may go home. Do not assume communal materials belong to individual guests.
