How to set up a self-led painting station

For festivals, libraries, open days, hotel lobbies and community events where people come and go instead of starting together. A self-led drop-in station runs without a lesson: the outline gives each visitor a starting point. This guide covers layout, signage, restocking, unfinished work and cleanup.

Drop-in: short stop or seated station

We do not publish visitor-per-hour figures; how many people a station serves depends on seats, designs and how long people stay.

Type Visitor experience Plan for
Short stop Paint a little, then move on Simple designs, quick turnover, a finish-at-home option
Seated station Sit down and paint a whole canvas Fewer seats used for longer, a proper drying area

Layout

  • Entry: a sign, the canvases and a pencil for names.
  • Seats: each with a water cup, towels and paint within reach; a caddy per seat makes resetting faster.
  • Drying zone: away from the walkway, labeled so people find their own painting.
  • Refill point: clean water, spare towels, and a covered trash bin.

A sign that runs the station for you

Keep it short. For example:

  • Write your name on the back of a canvas.
  • The outline is a guide; choose any colors.
  • Rinse your brush between colors.
  • Leave your painting in the drying area, or take it home flat.

Restocking

Count canvases and paint separately: they run out at different speeds. Keep a reserve out of sight and bring out a few at a time, so the table never looks picked over. Change water when it turns cloudy and swap towels before they are soaked.

Kits are optional; at a station, shared paint at each seat often works better than handing out whole kits. What a kit contains.

Unfinished work and ownership

Many visitors will not finish. Offer two choices: leave it to dry and collect it later, or take it home flat to finish there. Names on the back from the start avoid disputes. Decide in advance what happens to paintings nobody collects.

Station run sheet

  1. Before opening

Tables covered, seats set, sign up, reserve counted, drying zone labeled.

  2. Regularly while open

Refresh water and towels, restock canvases, move dry paintings to collection.

  3. Last call

Stop seating new painters early enough for cleanup.

  4. Close

Keep wet paintings flat on a rigid support with the painted surface uncovered; rinse brushes, wipe tables and record what was used.

What we provide

We supply pre-outlined canvases and optional paint kits. We do not provide hosts, instructors, entertainers or venues. Staffing, venue rules and supervision of children are the organizer's. We recommend adult supervision for children aged five and under, and children under three should never paint unattended. The formats and timings on this page are suggestions for planning, not reports of real events.

Questions about stations

Do visitors need instructions?
A short sign is usually enough; the outline does the drawing.

Can we order for a station without knowing numbers?
Estimate from similar events, add spares, and record actual use for next time.

What should we include in an order inquiry?
Send the number of painting places you plan to supply, any reserve canvases, canvas sizes and optional kit quantities. Ask us to confirm current pricing for that supply list.

For current order questions, contact the team. Read shipping and tracking guidance or order-problem and return guidance.
