Organizing a Take-Home Canvas Fundraiser
A take-home canvas fundraiser distributes a painting activity for supporters to complete on their own schedule. It replaces the live-session plan with an order, assembly and collection plan. The organizer must explain exactly what supporters receive and how the fundraising arrangement works.
Set the offer before promoting it
Choose the designs and decide whether supporters receive a canvas alone or a canvas with paint supplies. State any additional household items they will need, such as surface protection, rinse water and paper towels. Do not imply a live class, tutorial video or special gift packaging is included unless you have arranged it.
The fundraising activity guide helps compare formats. Canvas Paint Party supplies physical pre-outlined canvases and optional paint kits; your organization manages the fundraiser and supporter relationship.
Keep financial wording precise
Have the responsible organization approve the selling price, any contribution wording and how proceeds will be described. Gross sales are not the same as funds remaining after supplies and campaign expenses. Do not make tax-deductibility or charitable-status promises without the organization's appropriate review.
Before collecting orders, confirm what happens if a design is unavailable, a supporter misses collection or the campaign changes. These are your campaign decisions and must not be invented from a supplier's general policy.
Build a distribution ledger
| Reference | Requested | Prepared | Handed over |
|---|---|---|---|
| Order A | 2 canvases, 1 kit | Contents checked | Collection confirmed |
| Order B | 1 canvas only | Waiting in labeled area | Pending |
| Order C | 3 canvases, 3 kits | Count discrepancy flagged | Do not release yet |
This fictional example separates quantity from handover status. Keep supporter contact details in the organization's appropriate private record, not on a publicly displayed pickup sheet.
Assemble and inspect deliberately
- Match the received designs and quantities to the purchase record.
- Keep canvas-only requests separate from requests with kits.
- Check each supporter allocation against the ledger.
- Include accurate, simple setup information and the campaign's support contact.
- Record collection and reconcile unclaimed stock after the pickup window.
For supply questions, use group ordering guidance. Do not promise direct shipment to many supporter addresses unless the actual arrangement has been confirmed.
Fundraiser questions
Can people paint together later? Yes, if they choose to arrange it. The take-home offer should still be complete and understandable without an event.
How many should we order? Compare confirmed demand with the organization's budget and willingness to retain stock. The quantity planning guide helps document uncertainty; it does not predict campaign sales or guarantee fundraising results.
