Prepare Check-In and Booking-Exception Handling

Painting-event check-in is easier when ordinary arrivals and booking exceptions follow different paths. Most guests need a quick welcome and a seat. Someone with a missing confirmation, an extra guest or a design change needs a person who can review the issue without holding up everyone else.

Give the welcome team the right information

Prepare the confirmed booking list, the number of painting places per booking and any recorded design choices. Include the event lead's contact and a short list of decisions the check-in helper may make. Keep the list private and collect only the information needed for the event.

Use the organizer planning guide to establish who has authority over bookings. The canvas supplier does not decide who may enter an independently run event.

Define common exceptions in advance

  • Booking not found: check the organizer's approved records or refer to the event lead.
  • Additional painter: confirm a seat, materials and the organizer's booking rules before accepting.
  • Different design requested: check available stock and record the change.
  • Late arrival: explain the remaining activity and any joining limit.
  • Accompanying non-painter: follow the seating and supervision plan.
  • Duplicate claim: pause allocation while the event lead checks the record privately.

Do not ask a guest to display payment or personal details to the queue. Use an appropriate private place or the organization's approved system for resolving the question.

Make an exception decision sheet

For each issue, write “What the helper checks,” “Who decides” and “What gets recorded.” Example: “Extra painter; check unused seat and unallocated canvas; event lead decides; update attendance and supply count if accepted.” This prevents one helper from using reserved stock while another is promising it to a different guest.

Pair the sheet with headcount planning. A spare canvas alone does not create a safe or useful extra place if the room and staffing are already full.

Keep the guest welcome intact

Explain the next step calmly: “Our event lead will check that with you here while the welcome desk helps the next arrivals.” Avoid describing the guest as a problem or announcing their booking issue to others. Once resolved, give the same activity introduction everyone else received.

What if the booking system is unavailable? Use only the backup process the organizer prepared, then reconcile records when access returns. What if an exception remains unresolved? The event lead should explain the available options under the event's actual terms. Add the practical lesson to repeat-hosting notes, keeping personal details in the proper private records.
