Preparing to Receive Painting Supplies
Receiving supplies is easier when one person owns the check before boxes reach the activity room. Plan where delivery will arrive, who can accept it and where the contents can be inspected. Finding a quantity or design mismatch during unpacking gives you more options than discovering it at guest check-in.
Prepare the receiving point
Confirm the address and any building instructions with the person placing the order. A school office, hotel desk or shared workplace may accept a parcel without knowing which program it belongs to. Give the receiving contact the organizer's name and a way to reach them. Check storage access around weekends, closures and the event date.
Reserve a clean, dry inspection surface with enough room to lay out canvases without stacking loose items on the faces. Have the order confirmation, a counting sheet and a camera available. Keep packaging until the inspection is complete and any reported issue has been resolved.
Check against the order, not the guest list
- Count packages received and compare them with the available shipment information.
- Inspect the outer packaging and photograph visible damage before discarding or rearranging it.
- Count canvases by design, size and orientation. Keep similar-looking designs in separate groups.
- Count optional kits independently; canvas quantity and kit quantity do not have to match.
- Record discrepancies with the order reference, affected item and clear photographs where relevant.
- Move checked items to a labeled storage area and record who takes responsibility for them.
Use a simple discrepancy record
For example: “Ordered: eight Design A canvases and six Design B canvases. Received: eight A and five B. Checked by Jordan on delivery day. Packaging retained.” This is more useful than “some supplies missing.” Do not redistribute unchecked boxes to several facilitators and then attempt to reconstruct the count.
Contact Canvas Paint Party promptly about order issues. For damage, the current policy asks for a report within one week after delivery with product and packaging photographs. Keep the issue description factual and include your event date, without assuming a replacement can meet a particular schedule before it is confirmed.
Common questions
Should I open everything immediately?
Inspect promptly while respecting packaging and the product condition. If you may return a standard item, check the applicable return requirements before opening its packaging unnecessarily. Ask about uncertainty before using it.
What if another department receives the shipment?
Ask them to retain the packaging and transfer the complete delivery to your named checker. Record the handoff so boxes are not mistaken for unclaimed office supplies.
Next, review quantity planning, stock and reordering and hosting preparation.
