Supply Planning for a Ticketed Painting Fundraiser
A ticketed painting fundraiser needs a supply plan that follows the seats you promise. Paid guests, sponsored places, volunteers who paint and demonstrators may all need materials. Counting only paid tickets can leave the organizer short, while ordering to the room's full capacity can tie up money unnecessarily.
Separate the fundraiser from the supplier
Your organization chooses the cause, sells tickets, states its event terms and explains how proceeds are used. Canvas Paint Party supplies physical pre-outlined canvases and optional kits. Purchasing materials does not make the supplier the event organizer or a fundraising partner. Start with the fundraiser planning guide to define your event's responsibilities.
Before announcing a quantity, confirm the usable seating layout and the number of people you can support. Include space for check-in, circulation and artwork collection. A room's headline capacity is not automatically its painting capacity.
Build the supply count from real categories
- Count confirmed paid painting places.
- Add sponsored or complimentary painting places that the organizer has actually approved.
- Add any demonstration canvas and any staff or volunteers who have an allocated painting place.
- Choose a separate reserve based on your budget and replacement plan. Keep that reserve unavailable for casual walk-ins until the event lead releases it.
- Count kits independently. Guests using the organizer's existing supplies do not automatically need the same kit allocation as guests receiving individual materials.
Use changing-headcount planning to decide how late additions will be handled before you order.
Try this seat-and-supply worksheet
Example only: 24 paid painters plus four sponsor-funded painters plus one demonstration canvas creates 29 assigned canvases. If the organizer separately chooses two spare canvases, the purchase count becomes 31. Write the reserve decision down so a second volunteer does not add another allowance.
For each category, record: seat count; design; canvas size; kit count; funding source; and who can authorize changes. Keep supplier costs, venue costs, payment-processing costs and any other event expenses in separate rows. Ticket receipts alone are not the amount available for the cause. Have the organization's responsible person check any public statement about proceeds.
Set a release point for spare seats
Tell check-in staff whether unclaimed supplies can be reassigned and when. An absent prepaid guest may still have a right under your stated event terms to collect materials later. Do not sell that same allocation again without checking those terms. Keep substitutions and exceptions in a brief event log.
Can a sponsor provide more places at the last moment? Only if the organizer confirms seating, staffing and materials. Can leftover supplies support another fundraiser? Record exactly what remains and its condition before planning reuse. For the actual supply request, use group and business ordering with your confirmed quantities and event date.
