Supplying a Facility-Requested Painting Donation
A painting-supply donation is most useful when the receiving facility has asked for it and confirmed what it can accept. Start with that request rather than choosing a large mixed bundle because it looks generous. Storage, materials rules and staff time can limit what a program can use.
Confirm the request with the authorized contact
Ask which canvas sizes, quantities and material types the facility needs. Check whether it wants canvases only or also painting supplies, and whether it has product-information requirements. Keep the request specific enough that the donor can compare it with the actual items being purchased.
The service-group planning guide can help an organizer coordinate the project. Canvas Paint Party is a supplier; this guide does not imply that it sponsors the donation, operates the receiving program or has approved materials for a particular facility.
Check acceptance before buying
- Who is authorized to approve the donation?
- Must items be new, unopened or labeled in a particular way?
- Which product labels or specifications does the facility need to review?
- How much storage space is available?
- Where and when can the shipment or hand delivery be received?
- Who will confirm receipt and handle any discrepancy?
Do not remove labels, divide materials into anonymous containers or add unrequested items to fill a box. If a requested material cannot be confirmed, ask the facility about an alternative before substituting.
Use a request-to-delivery worksheet
Make columns for “Requested item,” “Confirmed specification,” “Quantity,” “Approval contact” and “Delivery arrangement.” An example might read: “Pre-outlined canvases; facility-selected design and size; quantity confirmed by activity lead; delivery to receiving desk during agreed hours.” Keep the recipient's personal information out of public donation publicity.
For custom artwork, confirm that the facility wants the subject and that permission to use the reference is in place. The design planning guide can help the activity lead compare region sizes and complexity without making medical or therapeutic claims.
Make the handover easy to verify
Include a clear item list and a contact for practical questions. Ask the receiving contact to compare the delivered materials with the agreed request. Record the handover through the donor's and facility's ordinary processes. Do not promise a tax receipt or deductible amount on the facility's behalf.
What if the facility changes its needs? Pause the order or delivery plan while the responsible people agree a revision. Can the donor attend the activity or take photographs? Treat those as separate permissions, never assumed benefits of giving supplies. For an approved supply request, use business and group ordering with the confirmed items and receiving details.
