Write a Promotion Brief for a Paint Event
A useful promotion brief lets everyone describing the event work from the same facts. It should tell prospective guests what they will do, where it happens, who organizes it and how to book. Write it after confirming the plan, not as a wish list of features you hope to provide.
Start with the activity
Describe the real format: guided demonstration, self-led social, shared canvas or another tested arrangement. Name the intended participants without implying that everyone will achieve the same finished result. If guests choose colors or outlines, state the actual choice available.
The format guide helps make that description precise. The first paid-session guide connects the offer with organizer responsibilities.
Complete seven fields
- Audience: Who the event is designed to welcome.
- Activity: What participants will actually do.
- Organizer: Who hosts, teaches and answers booking questions.
- Place and time: Confirmed location, access details and schedule.
- Included items: Canvases, supplies and other confirmed inclusions.
- Participation details: Experience expectations, access contact and relevant terms.
- Next action: One clear booking or inquiry route.
A brief might say: “An organizer-led painting social using pre-outlined canvases, with personal color choices and supplies listed on the booking page.” Replace the general wording with confirmed details before promotion.
Check every promise against the plan
- Match the advertised design to the order or permitted artwork.
- Verify tools and supplies shown in images are actually included or label them as examples.
- Check the venue and facilitator are confirmed.
- Remove guaranteed drying, delivery or artistic-result claims.
- Make the booking action and terms consistent across channels.
Do not imply that Canvas Paint Party hosts the event because you use its canvases. The supplier and organizer may have different responsibilities and contact details.
Prepare the handoff to whoever creates the promotion
Include the approved wording, permitted images, link and a person who can answer factual questions. Mark example paintings as examples. Keep old versions out of circulation when dates or inclusions change.
Use the organizer guide and planning checklist to verify details before publication.
Promotion questions
Should the headline include every feature?
No. Lead with the activity and audience, then make practical details easy to find.
What if a feature is not confirmed?
Leave it out until it is. A concise accurate invitation is more useful than a fuller one that requires later corrections.
