Build a Host Portfolio with Clear Evidence Labels
A host portfolio should help someone understand what you have actually prepared or delivered. A small set of clearly labelled samples is more useful than a large gallery that leaves viewers guessing whether you hosted the events shown.
Label the type of evidence
- Rehearsal: A setup or practice session used to test your plan.
- Facilitator sample: A painting made to develop or demonstrate the activity.
- Actual event: A session you helped deliver, with your role described accurately.
- Participant work: A painting shared with the relevant permission and context.
The first paid-session guide helps identify what to test before building your public offer. Buying canvases from a supplier does not establish that the supplier trained, endorsed or employed you.
Keep a private evidence register
For each portfolio item, record its source file, date, event or rehearsal context, creator, permissions, approved caption and any restrictions. The public caption need not expose private records, but it should be supported by them.
A useful caption is: “Table-layout rehearsal for a small-group painting activity, prepared by our host.” An inaccurate caption would describe the same empty room as a sold-out community event. Be equally careful with attendance numbers and claims about experience.
Show the practical work
- Choose an image or description that demonstrates a real planning decision.
- Explain the task: for example, arranging individual palettes beside shared refills.
- State what you did and what remains an example.
- Include only people and artwork you may show.
- Review older portfolio items when your offer changes.
A sample supply list can also be evidence: canvas, suitable paint, brushes, palette, rinse container, towels and protection, with a note about who provides each. Do not imply optional equipment is included when it is merely visible in a photo.
Use feedback faithfully
Keep the wording and context of genuine feedback intact. Do not invent a name, star rating or quotation to make a new portfolio look established. The FTC advertising guidance states that advertising claims must be truthful and evidence-based.
Use the trial guide to create useful original evidence and the repeat-hosting guide to retain what you learn.
Portfolio questions
Can I launch a portfolio before hosting a paid event?
Yes, with accurately labelled rehearsals, samples and a clear description of what you are offering.
Can I use a venue's or customer's logo?
Do not assume permission or endorsement. Obtain appropriate authorization and describe the relationship accurately; otherwise use a neutral factual description.
