Handle Guest Substitutions and Ticket Transfers Clearly

A guest substitution changes who attends a booking; it does not automatically change the canvas already prepared, the event's eligibility conditions or the organizer's refund terms. Explain the host's process before accepting requests so both the original guest and replacement understand what is being transferred.

Publish the organizer's rule

State whether substitutions are allowed, how to request one and when changes can no longer be handled reliably. Check the actual booking platform's current controls and the venue's requirements. A name change in an email does not necessarily update a ticket, access list or payment record.

Keep the event booking distinct from any supplier order. The organizer's decision to accept a new attendee does not mean a custom canvas order can be changed.

Check four things before confirming

  1. The person making the request is authorized to change the booking.
  2. The replacement meets the event's stated participation conditions.
  3. The supplies and chosen design remain suitable, or an agreed alternative exists.
  4. The active booking record can be updated so only one place is valid.

Handle personal information through the organizer's established channel. Avoid discussing guest details in a public comment thread or forwarding a full list of participants to resolve one substitution.

Use a single change record

  • Booking reference.
  • Request received and checked by.
  • Replacement attendee confirmed through the approved process.
  • Design or supply limitations communicated.
  • Current check-in record updated.
  • Confirmation completed and old details retired where appropriate.

For example, a guest with a generic flower outline may be replaced without changing the materials. A canvas personalized with the original guest's name needs a separate discussion. The host should explain the prepared item accurately rather than promising a remake or refund that has not been agreed.

Brief the welcome helper

Give the check-in team the current list and a contact for unresolved cases. Mark a substitution as complete only after the relevant records agree. If the original and replacement names both appear as active, the room and supply counts can become misleading.

At the close of registration, reconcile total active places with available seats and canvases. Substitutions should replace a place, not add an unnoticed extra guest.

Common questions

Does a substitute receive a different design?

Only if the organizer can provide and confirms that change. Personalization and stock limits may prevent it.

Is forwarding a ticket enough?

That depends on the actual ticketing system and host's process. Ask the organizer rather than assuming a forwarded image updates registration.

Continue with changing headcounts, design allocation, event records and host readiness.
