Keeping Custom Artwork References Organized

A clear reference folder helps everyone understand which image belongs to which canvas. You can begin with a regular photograph, a reference image or a ready outline. Canvas Paint Party converts images into paintable outlines and may simplify detail. Looking at a design preview is optional; organizing references does not create a mandatory approval step.

Use one record for each requested design

Give the design a short code, such as GARDEN-A, and keep that code in the file name and your quantity sheet. Record the main subject, orientation, requested wording and the details that matter most. Separate essential features from suggestions so the intended result is easier to understand.

  • Reference file: identify the selected image, not just “the latest photo.”
  • Design note: say what to keep, simplify or omit.
  • Wording: provide the exact spelling, capitalization and punctuation.
  • Quantity: list canvas counts and sizes separately from paint-kit counts.
  • Preview preference: state whether you would like to see one.

Avoid conflicting versions

Keep an original copy and create clearly named working versions. If you change a reference, say explicitly which previous file it replaces. Do not send several similar attachments without indicating the chosen one. A screenshot of a file name is less useful than the actual reference and a short explanation.

For example: “GARDEN-A-v2 replaces GARDEN-A-v1. Keep the large central flower; omit the fence. The wording remains ‘Thank you, Maya.’ Quantity is unchanged.” If quantities also change, restate the complete updated count instead of asking the recipient to combine several messages.

Limit unnecessary personal information

Share only the part of an image needed for the design. Check whether names, addresses, school details or unrelated people appear in the background. Keep your own copies and permission records for images you are entitled to use. Do not assume that sending a file transfers ownership or grants broader publication permission.

Choose one coordinator when a group supplies references. The coordinator can resolve conflicting preferences before sending the brief, but should not alter another person's name or image choice without checking. Keep the order reference beside the design codes after an order is arranged.

Common questions

Do I need to turn my photo into line art first?

No. A regular photo, reference image or ready outline can be the starting point. Explain the subject and important details rather than inventing technical specifications.

Will the business keep my design for future orders?

Do not rely on that. Save your own reference, final correspondence and any preview you receive so a later request can identify the intended design.

Review names and wording, optional preview review and reorder preparation.
