Offering Supplied-Canvas and Bring-Your-Own Participation

A painting session can welcome both guests using organizer-supplied canvases and guests bringing their own, provided the two arrangements are clear. Decide what the shared activity requires before advertising either option. Bringing a canvas does not automatically mean the guest also brings paint, brushes or suitable protection.

Define each participation path

Write a short contents statement for each option. For supplied-canvas participation, identify the canvas and any confirmed materials. For bring-your-own participation, explain the surface, size or design constraints that follow from your planned activity, and state what shared supplies remain available. Verify material suitability rather than making a broad compatibility promise.

If the session uses a specific pre-outlined design, explain whether a guest's different surface can follow the same instructions. A guided demonstration may not transfer neatly to a very different size or subject. A self-led color session offers more flexibility, but still needs workable table space.

Separate registrations and counts

  1. Record the selected participation path at booking.
  2. Count organizer-supplied canvases separately from total seats.
  3. Count paint and brush needs according to the actual arrangement.
  4. Send a reminder stating what each guest should bring.
  5. Set a cutoff for changing options so the supply count remains reliable.

Plan the arrival check

Ask guests to identify their own equipment and keep it separate from shared stock. Provide a place for bags away from wet materials. If someone's surface does not fit the table or activity, explain the available alternatives without promising an unplanned replacement. Keep any spare canvases as a deliberate reserve with a clear allocation rule.

Example: the organizer runs an open color-planning session. Supplied-canvas guests receive the confirmed outline; other guests bring an appropriate canvas within the organizer's tested workspace limits. Everyone receives the same introduction, while the facilitator makes clear that the demonstration is an example rather than an exact guide for every surface.

Make any price difference understandable

If your event has different fees, describe what each fee covers through your own booking system. Do not imply that a supplier's product price determines your event fee. Keep instruction, venue and materials responsibilities visible so guests can compare the options fairly.

Common questions

What if a guest forgets their canvas?

Use the contingency stated in your booking information. A reserve can help, but do not promise unlimited spares.

Can guests bring their own paint too?

Only if the venue and activity permit it and the material is suitable. Review labels and requirements before the event rather than improvising mixing or cleanup rules at the table.

Compare canvas and activity types, workspace sizes and quantity planning.
