Reconcile a Physical Supply Count with Your Reservation Ledger

Before promising supplies to another session, check that the physical stock agrees with the record. A useful stocktake does more than replace yesterday's number with today's shelf count. It identifies the item, its location and condition, and any movement between the record's cutoff and the actual count.

This procedure checks the starting balance for a session reservation ledger. It does not assign a financial value to inventory or close an event's expenses.

Define the count before touching the shelves

Choose a bounded area and a cutoff time. Save the stock record as it stands at that time. Identify each canvas by design and size; count individual canvases as individual canvases. Keep complete paint kits separate from loose components. A partly used or incomplete kit should not quietly count as one complete kit.

Tell the people handling supplies which area is being counted. When practical, finish that area before moving stock through it. If movement must continue, record every arrival, issue, transfer and return with the item, quantity, time, origin, destination and person recording it.

Keep stock states mutually understandable

State How it enters this count Common error to avoid
Available onsite Physically present, checked and not allocated Including materials already reserved for a session
Reserved onsite Physically present and assigned to a named session Adding the reservation a second time to the physical total
Needs attention Physically present but condition or completeness is unresolved Treating uncertain stock as ready to allocate
Issued or offsite Recorded at its actual destination, outside this onsite count Calling it missing solely because it is not on this shelf
Incoming Kept in the expected-delivery record Counting an order or tracking update as physical stock

Give a returned item an appropriate checked state before making it available again. An item does not become usable merely because it has come back into the room. Use the receiving checks for newly arrived supplies.

Work a count back to the same cutoff

Here is a hypothetical count of one design and size. At 10:00, the record shows 10 available canvases, 12 reserved and one needing attention: 23 physically onsite. At 10:10, a host takes three available canvases and records the issue. The counter reaches that shelf at 10:20.

State 10:00 record 10:20 physical count Adjustment back to 10:00 Comparable count
Available 10 7 Add the 3 issued after cutoff 10
Reserved 12 12 No movement 12
Needs attention 1 1 No movement 1
Onsite total 23 20 Add 3 23

The apparent three-canvas difference is explained by a documented movement. There were 22 usable onsite canvases at cutoff, including the reserved 12. At 10:20 there are 19 usable onsite, of which seven are available. The attention item stays excluded from usable stock. The movement record supplies the current state; the adjusted count tests the earlier record.

A receipt after the cutoff works in the other direction: subtract that receipt when reconstructing the cutoff count. Transfers between two counted locations need matching records so the same materials are not counted twice.

Investigate a difference before correcting it

For an unexplained difference, record the item, location, recorded quantity, observed quantity, movement adjustments and remaining variance. Recount that item, preferably with a second person. Check other locations, demonstrations, transfers and returns against actual records.

If a different design shows four recorded but three counted, do not invent a damaged item to balance the sheet. Mark one unexplained, protect the confirmed reservations and assign the next check. Preserve the original count, the supported explanation and the person authorizing any correction.

Keep event expense questions in the event closeout record. Return the corrected, dated usable balance to the recurring program plan before making further allocations.
