Supplying Multiple Facilitators for One Paint Event
When several facilitators run one event, a total supply count is not enough. Each person needs the right materials at the right station, plus a clear way to obtain replacements. Build your own station packs from the confirmed order and existing supplies; do not assume the supplier sorts or labels them for your event.
Give every station a simple identity
Use letters or plain names that appear on the room plan, supply containers and facilitator sheet. List the assigned canvas designs, sizes and counts. Count paint kits independently. A station serving six painters does not automatically need six of every shared item, but all participants need a workable arrangement.
Keep reusable equipment, consumable supplies and participant artwork in separate sections of the sheet. Include table protection, suitable rinse containers, towels, brush rests and any organizer-provided demonstration materials. Note which supplies stay at the station between groups.
Pack, check and hand over
- Lay out one complete station as a trial before packing every station.
- Assign a checker to compare each pack with its manifest.
- Ask the receiving facilitator to check the pack again at setup.
- Place spare canvases and replacement supplies with a named reserve coordinator.
- Record transfers between stations so a shortfall is not accidentally moved elsewhere.
- At closing, separate unused stock from used equipment and reconcile the reserve.
Choose a useful exception rule
Let facilitators solve small needs without losing control of inventory. For example, they can request a replacement brush from the reserve, but a change of canvas design goes through the coordinator because another station may need that outline. Avoid having every facilitator open an extra carton “just in case.”
A practical manifest might read: “Station B: six landscape canvases; participant paint supplies as listed; one organizer demonstration canvas; six rinse containers; one table cover. Reserve requests: Alex.” Add a count for every component your event actually uses. This is an example worksheet, not a packaged product offer.
Brief the people, not only the boxes
Give all facilitators the same welcome instructions, participant-choice rules and finish procedure. Explain who handles a spill, a late arrival, a supply question or a guest who wants to stop. A well-stocked station can still fail if facilitators give contradictory instructions about ownership or pickup.
Common questions
Should every station receive identical designs?
Only if that supports the activity. Different outlines can work when manifests clearly identify them and you have planned how choices are allocated.
Who checks supplies after the event?
Each facilitator counts their own station, then one coordinator combines the totals. Keep used equipment out of the available-stock count until it is ready for another session.
Use repeat-hosting records, quantity planning and station setup.
